As an Office Assistant your job duties include, but are not limited to, working collaboratively with the Office Manager. The Office Assistant will ensure the office is clean and orderly at all times, file and respond to incoming calls to keep the Agency operating efficiently. The Office Assistant will consult with the Office Manager and Chief Operating Officer to ensure quality and ethically sound services that also maintain compliance with State and Agency regulations.
Starting Salary: $18-$19/Hr
This position requires regular and consistent attendance, excessive absences are disruptive to our Agency business.
**Key Performance Areas:**
Ensure that all needed office supplies are available at all times. This includes the supply of toner and other required items needed for the copiers, computer printing cartridges, and any other supplies needed in order to function smoothly.
Ensure that all incoming calls are responded to in a timely manner and calls are referred to the appropriate staff when needed.
Ensure that all machines, computers and phones are repaired when needed in a timely manner.
Keep the reception area, including desk, neat and organized throughout the day.
Monitor the visitation rooms to ensure it is orderly at all times. This may require reminding the children, CSW, resource parents and visiting parents to straighten the room before leaving the Agency.
Monitor the kitchen area and ensure it is orderly and clean at all times. Generate memos to remind staff of their responsibilities in keeping the entire Agency orderly.
Office Assistant must believe in and act in accordance with both the Agency’s and the Program’s Mission Statements.
Perform other duties as assigned.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. High School Diploma or GED required.
Must have 2 years’ experience in clerical work or 2 years of related experience.
Must have extensive computer skills and knowledge.
Must have the ability to work under pressure.
Must pass and remain current in CPR/First Aid.
Must be able to effectively utilize computers and basic computer software.
Must be available full-time and able to adjust work day/work week to provide services when clients and families need them, which can routinely include evenings and occasionally weekends, in order to ensure coordination and continuity of services.
Must meet Community Care Licensing and insurance requirements.
Must have a valid California Driver’s License and a good driving record. Must be at least 18 years old with at least 2 years of driving experience.
A Greater Hope includes all employees in the DMV pull notification process, notifying AGH of infractions throughout the process.
All Employees are required to report all arrests within 48 hours of arrest as per Community Care Licensing requirements.
Must pass a drug screen, physical exam, and Tuberculosis skin test. Must agree to COVID 19 Vaccination.
Be able to obtain Criminal and Child Abuse Clearance from the State of California/Department of Justice.

Ability to work independently and as part of a team, strong conflict resolution, communication and organizational skills; with great attention to detail.
